Privacy notice for therapy clients
Who I am:
I am Emma Doorish, a psychotherapeutic counsellor in private practice. I am responsible for the personal information you share with me. Contact: hello@emmadoorish.com. ICO registration reference: ZB605775.
What I collect:
Your name, contact details and date of birth; GP and emergency contact details; information you share at assessment about your health and circumstances; session dates and times; payment records; and any emails or messages we exchange. If you agree, I may also photograph artwork or creative work you make in sessions. I make written notes only about risk and safeguarding.
Why I use it
To provide therapy, arrange and manage sessions, take payment, communicate with you, keep you safe, and meet my legal and professional obligations. I use your information on the basis that it is needed for our therapy agreement. Health information is used for the provision of health and social care, and with your explicit consent where needed.
Tools that hold your information:
I use the following platforms. Each may store or process some of your information.
Wix: Website and online booking. Holds your name, contact details and booking history.
Gmail and Google Calendar: Emails between us, and appointment entries that include your contact details.
Google Meet: Online sessions. I do not record therapy sessions. If we do hypnotherapy together, I may make an audio recording for you to listen to, with your consent.
Stripe: Taking payment. Card details go to Stripe. I do not see or store your full card number.
SignNow: Signing the therapy agreement. Holds the signed agreement.
I do not use AI tools with your information:
I do not enter any client information into AI tools. If this ever changes, I will tell you and ask your consent first.
Who I may share it with:
I will not share your information without your consent, except where the law or safety requires it (for example, serious risk of harm to you or others, or safeguarding concerns), as set out in your therapy agreement. If you are referred through an insurer or EAP, I share only what that organisation requires. My supervisor sees anonymised or limited information for supervision. If I die or am unable to work, my professional executor, who is bound by confidentiality, will contact you about your therapy, and a trusted person may pass them your contact details.
How long I keep it:
I keep your records for 7 years after our work ends (for under-18s, until they turn 25), then I destroy them securely.
Where it is stored:
My records are digital only and held securely in the systems above. Some providers (Wix, Google, Stripe, SignNow) may process data outside the UK under appropriate safeguards.
Your rights:
You can ask to see your information, correct it, ask me to delete it where the law allows, or object to how I use it. Email hello@emmadoorish.com. Complaints can be made to the Information Commissioner's Office at ico.org.uk.
